Room capacity, audiovisual needs, registration, catering, accessible routes and transfers should be considered together. Accommodation and the programme need to work as one journey, particularly when participants arrive on different flights.

Build the brief before committing

Share the meeting objectives, anticipated attendance, dates, preferred destination and budget priorities. Identify which elements are essential and which can remain flexible. A focused meeting may need more technical planning; a reward programme may need more time for discovery. Both benefit from clear supplier responsibilities, a realistic schedule and a practical weather alternative.

Tell us about language needs, accessibility and dietary requirements early. Yes. These can form chapters of one corporate programme, provided the schedule and travel time remain comfortable. Indicate the main objective first; we can then explore how meetings, team building and dining support it. The proposed scope, venues and supplier availability are confirmed for your dates.
